Custom AI Integrated Bookkeeping Software Development for a Leading US-Based Wealth Management Agency

Learn how we helped a US-based wealth management agency automate document-heavy bookkeeping workflows, simplify financial data processing, and reduce manual accounting tasks with AI-integrated software.

Project Overview

Project Overview

A top wealth management agency situated in Northeastern United States required a centralized system to automate different processes like document processing, expense management and accounting synchronization. Its current processes involved manual receipts, long statements and expenses arriving from multiple channels, which resulted in repetitive manual data entry and disconnected workflows.

We developed an AI-powered bookkeeping platform that included various functionalities to improve the manual process. It includes Intelligent document management, OCR, machine learning, automated classification, REST API, webhook, and integration of third-party accounting solutions. The platform centralizes financial data and also automates capture, approval, accounting synchronization, and payments.

The Challenge

  • line icon

    Manual Receipt and Expense Tracking

Manual financial data entry increased processing time for receipts and expense documents.

  • line icon

    Multiple Document Formats

Various types of documents such as PDF files, images, e-mail attachments, and scanned receipts needed to be ingested in a flexible manner.

  • line icon

    Unstructured Data

Unstructured financial data needed to be converted into structured records containing amount and line-item information.

  • line icon

    Complex Accounting Integrations

Different accounting software would require different APIs, authentication processes, data schema, and synchronization techniques.

  • line icon

    Delayed Expense Approvals

Expense approvals were causing delays for businesses with numerous employees and accounting users.

  • line icon

    Document Management

Financial document management required secure storage, access management, indexing, and retrieval capabilities.

  • line icon

    Disconnected Workflows

Disconnected payment workflows required users to manage bookkeeping and payments across separate systems.

Our Solutions

We developed a centralized bookkeeping automation platform that combines AI-powered document processing, expense management, accounting integrations, and payment workflows. The platform uses modular services to process financial documents from capture through extraction, validation, categorization, approval, and accounting synchronization.

Implemented AI-Powered Document Processing

We incorporated an OCR and machine learning based document processing pipeline to extract all information, like transaction amounts and line items, from receipts and invoices. Extracted values are normalized and validated before entering downstream accounting workflows.

Automated Financial Data Categorization

The platform automatically categorizes extracted transactions according to expense types, tax codes, ledger accounts, and configurable accounting rules. Validation and confidence-based review allow users to verify exceptions before synchronization.

Built Multi-Channel Document Capture

Users can upload documents via mobile scanning, email forwarding, web upload, and other channels. An ingestion service verifies the document, records its metadata, and then sends it to the processing pipeline.

Integrated Accounting Platforms Through APIs

Our team integrated the application using REST API and webhooks with accounting platforms. The integration layer handles OAuth authentication, field mapping, data transformation, synchronization status, error handling, and retry mechanisms for all connected systems.

Developed Expense Management and Approval Workflows

The expense module supports employee submissions, mileage tracking, reimbursements, and approval workflows. Role-based access control (RBAC) determines user permissions while an electronic audit trail records submission, approval, rejection, and reimbursement activities.

Implemented Centralized Document Management

Financial documents are stored using cloud object storage, while searchable metadata is maintained in PostgreSQL. Document indexing, access controls, and metadata-based search allow users to retrieve financial records efficiently for bookkeeping and audit requirements.

Integrated Payment Workflows

Payment services were connected with bookkeeping records through payment APIs and webhook-based status synchronization. Approved invoices and expenses can move through payment processing while transaction statuses remain synchronized with accounting workflows.

Secured Financial Data

The platform incorporates OAuth 2.0, JWT, MFA, RBAC, TLS encryption, encrypted storage, API validation, rate limiting, secure secrets management, and audit logging to protect financial information and integration credentials.

Key Technical Solutions

Security and Compliance

  • Authentication

OAuth2 / JWT with SSO. Access control is based on the role — owner, accountant, employee, and admin. MFA for admin accounts. Rate limiting (100 req/min/user).

  • Privacy

GDPR and ISO compliant. Minimal data retention — storing only financial information. Right to erasure workflow. Consent mechanism.

  • Encryption

At rest — RDS (AWS KMS AES-256), S3 (SSE-S3). In transit — TLS 1.3. Automated encryption of snapshots.

  • API security

Key rotation (monthly) using AWS Secrets Manager. CORS restrictions. JSON schema validation, parametrized queries, input sanitizing. AWS WAF.

  • Document security
